This privacy and cookies policy explains how and why your personal data is collected when you visit the MedIAN website and how it will be used. The MedIAN website is operated by the University of Oxford (“the University”). For the purposes of the Data Protection Act 1998, as amended or updated from time to time in the UK, the data controller is the University.

The University will take all steps reasonably necessary to ensure that your personal data is treated securely and in accordance with this privacy policy and applicable data protection legislation.

When we collect your data

We will collect data which you provide to us by filling in forms or providing feedback, corresponding by phone and email, and when you register to be a MedIAN member. The information you give us may include, for example, your name, postal address, email address, phone number, details of your academic and employment history, personal description.

 

When you visit the MedIAN website we may also automatically collect the following information:

 

  • technical information, including the internet protocol (IP) address used to connect your computer to the internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform;
  • information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from the website (including date and time), items you viewed or searched for, page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs) and methods used to browse away from the page.

How we use your information

Basis for processing

Sometimes, with your consent, we will process your personal data to provide you with information about MedIAN and news from organisations working in medical image analysis and related fields or information about our services, products and special offers that you have requested or are expecting.

 

On other occasions there is a legal basis under applicable data protection laws for us to use your personal data without your consent.  This includes, for example, where it is necessary for us to use the information in order to provide the MedIAN website to you or where we have a legitimate interest to use it (a) to ensure that we understand who and how the MedIAN website is used; and (b) to improve the MedIAN website and ensure it is secure; (for example, for statistical, testing and analytical purposes, troubleshooting or to carry out surveys and market research).

Where we store your personal data

We may store data collected by the website manually or electronically.  The data is stored on our secure servers and/or in our premises within the UK, but electronic data may be transferred to, and stored at, a destination outside the European Economic Area (“EEA”).  By submitting your personal data, you agree to this transfer and storing.  We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

 

Unfortunately, the transmission of information via the internet is not completely secure.  Although we will do our best to protect your personal data, we cannot guarantee the security of data transmitted to the website and any transmission is at your own risk.

MedIAN members

MedIAN membership allows users to display their credentials to others users of the MedIAN website. When you submit your application for MedIAN membership, you are consenting to having certain information you provide (full name, job role, affiliated organisation, website, social media and scholar accounts) published on the website and visible to other MedIAN members and non-member users of the MedIAN website.

 

When signing up as an Individual member, you can choose to show or hide your member profile in the site’s search results and member map page. This also controls whether your profile appears on job, event, blog, or collaboration call posts you create on the website. Company members do not have this option.

 

You can change your mind and opt out of MedIAN membership and having your information published at any time via the My Profile settings on the website.

Your email address will never be visible on the website, but signed-in members will be able to contact you on the email you provide, via a contact form built into the website.

Keeping in touch with you

If you would like to receive marketing communications from us, please let us know by checking the opt-in box when you supply your personal details.

If you have given your consent to receive marketing communications, but have changed your mind, you can opt out by contacting us using the contact details provided below or clicking the relevant link in any communication you receive, or in the Edit Profile page when logged in to the site.

Retaining your personal data

The MedIAN website is a tool for life.  Unless we inform you otherwise (or you request that we erase your personal data), we will retain your personal data on record for as long as you continue to use the website.
